Why measurement backup moves a supplement faster
Most supplement denials are quantity disputes, not scope disputes. The carrier does not dispute that ridge cap belongs on the estimate; it disputes how many linear feet of ridge cap the roof actually has. A visual estimate invites that argument. A measured figure, tied to a dated report and attached as an exhibit, removes the argument by giving the reviewer a specific number to check against their own file copy.
The same logic applies to area supplements. If the original estimate used a flat multiplier or an eyeballed pitch and the supplement corrects it to a measured pitch and measured footprint, the difference in squares is defensible only if the reviewer can see how it was calculated. Show the formula, show the input numbers, and the reviewer is checking arithmetic, not judgment.
The math behind a length or area line item
Roof area is derived from footprint and pitch: area = footprint x pitch multiplier, where the multiplier equals the square root of (rise squared plus run squared), divided by run. One roofing square equals 100 square feet. When a supplement adds squares for a pitch that was measured but not used in the original estimate, show the multiplier used and the footprint it was applied to.

What to attach: the PDF exhibit
The PDF is the readable version of the file the estimate was built from. It should stand alone: a reviewer with no other document should be able to match every disputed quantity to a number printed on the exhibit.

These are the lines most often supplemented for cap, flashing, or valley metal; a combined total is harder to verify against a specific quantity.
- Eave and rake lengths
Drip edge and gutter apron quantities trace directly to these figures.
- Area broken out by pitch and by facet
Mixed-pitch roofs need the area split by pitch so the multiplier used on each portion is checkable.
- Facet count and roof diagram
A reviewer comparing the exhibit to their own file needs the same layout, not just a total.

Ties the exhibit to a specific order, which matters if a revision was issued after the original delivery.
Referencing the report inside the estimate
The report should be imported into the estimate, not just attached as a separate file. In Xactimate®, this is generally done via the Sketch import option for an ESX file; menus vary by version, so verify the exact path in your build against the vendor's documentation. In Symbility®, the equivalent import brings the XML sketch into the claim's diagram. Once imported, the sketch measurements populate the estimate directly, and the same figures print on the PDF exhibit attached to the supplement.

Bring the ESX or XML into the estimate so line-item quantities are drawn from the measured sketch rather than typed in by hand.
- Cross-check the quantities
Compare each disputed line (ridge cap, valley metal, drip edge, squares by pitch) against the corresponding figure on the sketch.

Save the PDF into the claim file and reference it by name in the supplement note, for example: measurement report dated [date], report reference [number], attached.
- Note the report reference on the line item
Where the estimating platform allows a line note, cite the report date and reference number on the specific quantity being supplemented, not just once at the top of the estimate.

Retain the ESX or XML alongside the PDF so a reviewer using the same platform can re-import and verify independently.
