What to check on delivery, before you build the estimate
- Address on the report matches the claim address, including unit number
A pin that landed on the wrong parcel produces a report for the wrong structure entirely.
- Facet count matches what you see in ground photos or the roof itself
A missing dormer or an extra plane changes total squares and every line item built from it.
- Pitch assigned to each facet looks right for that plane
Pitch drives the multiplier applied to footprint area; a wrong pitch on one facet skews that facet's area and the waste calculation tied to it.
- Total squares divided by footprint area is a plausible multiplier
Using area = footprint x multiplier, a 4/12 roof should read close to 1.054, a 6/12 close to 1.118, an 8/12 close to 1.202. A total far outside that range for the stated pitch is worth a second look.
- Ridge, hip, valley, and eave lengths are present and reasonable
These lines feed Xactimate® and Symbility® line items directly; missing or zeroed lengths understate the estimate.
- Delivered format matches what the file actually needs
An ESX ordered for Xactimate® does not open the same way as a PDF, and a Symbility® estimate needs XML, not ESX.
What counts as a correction versus a new order
A correction is for an error on the structure you ordered: a facet mis-drawn, a pitch mis-assigned, a total that does not reconcile, or a format you meant to select but did not. These are handled as a revision against the original order.
A new order is for a different structure, a changed roof, or a job that was rebuilt or re-roofed since the original report was pulled. If the roof itself has changed, for example after a tarp job exposed new damage or a partial reroof altered the footprint, order a fresh report rather than asking for a revision of the old one. The delivery email thread is for fixing what the report got wrong, not for re-measuring a roof that has since changed.
How to request a correction from the delivery email
- Locate the original delivery email
Find the email that delivered the report; it carries the order reference the correction is tied to. Do not start a new order form for a correction.
- Reply on that thread
Reply directly rather than forwarding to a general inbox, so the request stays attached to the original order.
- State the claim number and property address
Repeat both even though they are on the original order, so the request is unambiguous if it is reviewed out of context.
- Describe the specific error
Name the facet or measurement, what the report shows, and what it should show. "Facet over the attached garage is missing" is actionable; "the roof looks wrong" is not.
- Attach a reference
A ground photo, a marked-up copy of the delivered PDF, or a note of the correct pitch gives the correction something concrete to check against.
- Confirm the format you need back
If the original was PDF-only and the correction needs to go into Xactimate®, say so; state ESX, XML, or PDF explicitly.
- Wait for the revised file, then re-verify
When the revision arrives, run the same checks again before you import it into the estimate.

After the revised file arrives
Re-run the same checks: address, facet count, pitch per facet, and total squares against the footprint math. Then import the corrected ESX via the Sketch import option in Xactimate®, or the XML into Symbility®, replacing the earlier file rather than layering a second import on top of it. Menus vary by version, so verify the import path in your build before assuming the prior click sequence still applies.
Note in the claim file that a revision was requested and received, including the date, so the file shows which version of the report the estimate was built from. If you ordered through
